Information on data protection in accordance with Art. 13 GDPR for participants in events of the University Office for Diversity of Opportunity

The University Office for Diversity at Leibniz University Hannover (LUH) attaches great importance to the security of your data. We therefore inform you here about data protection in relation to participation in our events (workshops, coaching sessions, lectures, etc. as online, hybrid or face-to-face formats) and at the same time assure compliance with all relevant legal provisions, in particular the EU General Data Protection Regulation (GDPR).

Purpose of data processing
Your data will be processed for the purpose of organising and running the event for which you have registered with the Equal Opportunities Office (Hochschulbüro für ChancenVielfalt).

Legal basis for data processing
The legal basis for the data processing of the mandatory information in the registration mask is Art. 6 (1) b) GDPR or, in the case of internal events, Art. 6 (1) e) GDPR. In addition, further optional information can be provided voluntarily. The legal basis for the data processing of the optional information is consent in accordance with Art. 6 Para. 1 lit. a) GDPR. Your consent pursuant to Art. 6 Para. 1 lit. a) GDPR is the legal basis for the inclusion of your first and last name, your contact details and your institution or degree programme in the participation list. If you provide information on dietary requirements or personal needs (e.g. accessibility, childcare), your consent extends to the special categories of personal data pursuant to Art. 9 para. 2 lit. a) GDPR.

Obligation to provide
You are not obliged to provide this information, but participation in events at the Equal Opportunities Office (Hochschulbüro für ChancenVielfalt) is only possible if you provide us with the required and mandatory information. The communication of the other, optional data is not required and is on a voluntary basis.

Revocability of consent
You can revoke your consent to the processing of the optional data and the inclusion of your data in the participation list in accordance with Art. 6 Para. 1 lit. a) GDPR at any time with effect for the future. In this case, we will no longer process this data and will delete this data. The lawfulness of the data processing until the revocation is not affected by this. The revocation is possible informally via the above contact details of the responsible person.

Storage period
We process your data for as long as is necessary for the planning and final implementation of the event or on the basis of applicable legal provisions, such as the obligation to retain invoice documents. Should you wish your data to be deleted, we will delete your data without delay, unless legal retention obligations prevent this.

  • Department/Institute/Organisation/Study Programme

Recipients of personal data

  • Staff members entrusted with the implementation of the event and external coaches/trainers of the Equal Opportunities Office (Hochschulbüro für ChancenVielfalt)
  • The list of participants (with surname, first name, institution, degree programme of all participants) will be made available to the security staff for the purpose of admission control.
  • If you consent, your surname, first name and institution will be included on the attendance list, which will be handed out to the participants.
  • Other: Financial accounting for billing purposes.

Your rights

You have the following rights regarding your personal data (in accordance with Art. 15 to 21 GDPR):

  • Right to information
  • Right to rectification and completion
  • Right to deletion
  • Right to restriction of processing
  • Right to data portability / right to receive a copy

Right to object
You also have the right to object to data processing at any time. We will then no longer process your data unless there are compelling legitimate grounds for the processing or the processing serves to assert, exercise or defend legal claims.

Right of complaint
In addition, you have the right to lodge a complaint with the supervisory authority if you believe that the processing of personal data concerning you violates the law.
